Office Administrator - Focus Fitness & THC
Position Summary: The primary responsibility for this position will be administering organizational aspects for Focus Fitness' and THC's (Total Hockey Centre) programming; with a particular focus on planning, scheduling, invoicing/collections, reception and reporting.
Detailed Responsibilities:
Managing Facility/Programming Schedule, Inventory and Users
- Team Training (September to March)
- Identify inventory for THC and Focus Fitness team sessions;
- Develop and maintain a database of teams and hockey coaches for relevant A, AA, AAA, MMHL junior and other who serve as THC’s sales market;
- Receive inbound and make outbound calls to coaches to fill team training sessions several weeks in advance;
- Enter all contact details and scheduling information for all teams and coaches into Max Enterprise software program;
- Provide registration lists and associated reporting to relevant High Performance training staff, assisting with staff scheduling as appropriate;
- Confirm all appointments by phone two days before the session; and
- Manage daily, weekly, and monthly reporting.
- Spring Hockey (March to June)
- Identify inventory for THC and Focus Fitness spring hockey;
- Assist in development of promotional material;
- Manage registrations and inventory for spring teams;
- Enter all contact details and scheduling information for all spring teams into Max Enterprise software program;
- Provide registration lists and associated reporting to relevant High Performance training staff and coaches; and assisting with staff scheduling as appropriate;
- Summer Programming (March to June)
- Identify inventory for THC and Focus Fitness summer programs (on- and off-ice training sessions;
- Assist in development of promotional material;
- Manage registrations and inventory for summer programming;
- Enter all contact details and scheduling information for all spring teams into Max Enterprise software program;
- Provide registration lists and associated reporting to relevant High Performance training staff and coaches; and assisting with staff scheduling as appropriate;
- Personal/Group Training (year-round)
- Identify facility availability and capacity (where profitable), filling gaps of aforementioned Team Training, Spring Hockey and Summer Programming;
- Assist in development of promotional material;
- Receive inbound and make outbound calls to individuals to fill training sessions vacancies;
- Enter all contact details and scheduling information for all teams and coaches into Max Enterprise software program;
- Provide registration lists and associated reporting to relevant High Performance training staff, assisting with staff scheduling as appropriate;
- Confirm all appointments by phone two days before the session.
Invoicing/Collections
- For all THC/FF facilities and programming, prepare invoices for all team and individual training sessions;
- Collect and record all payments and forward on to the Iceplex Assistant Controller.
Reception
- Maintain front reception and common area in good presentation order, cleaning and organizing as required;
- Receive phone calls and in-person visits from athletes, parents, coaches, and other patrons, in a professional and courteous manner;
- Direct teams and individuals to appropriate location within Focus Fitness and THC as they arrive for training.
Organizational Support
- Ensure a Superior Patron Experience, by being part of a team that offers exceptional service to the High Performance training staff (internal) and patrons/clients (external);
- Coordinate with other Iceplex departments/staff, including Programming Manager, Operations Manager, Food & Beverage Manager and the Master Scheduler as required.
Qualifications:
- Pleasant, professional and athletic character -- consistent with the purpose/objectives of Focus Fitness & THC;
- Background in athletics and or athletic training; ability to promote the healthy lifestyle ideal.
- Outgoing, cheerful personality, and excellent telephone manner;
- Strong verbal communication and interpersonal skills in dealing with athletes, coaches, parents and other patrons;
- Interest & willingness to become part of a team seeking to provide Superior Patron Experience;
- 1 to 3 years of administrative support experience;
- Ability to manage multiple and competing demands;
- Superior usage of use of PC based tools (particularly databases & spreadsheets).
